The following is the draft minutes for the December Annual Meeting. They
are also available on the members-only website.

The meeting was held at the home of Marlene Hammond, KB4FAS, in Oakton, VA

The meeting was called to order at 5:00 PM by President, David Collingham,
K3LP.
Attendees: Members: K1MU, W3AZD, WB3ANE, W2GPS, WM3O, K3PU, wB4NFO, N4ZH,
W2YE, W4PWF, N1KC, KB4FAS, K3ZO, N3UM, PB2T, K2XYL, W4FQT, W3UR, W3MC,
N4RA, K5RJ.
Visitors: N3HMW (3 meetings attended.)

The Presendent addressed the members and expressed his willingness and
feeling of obligation to work hard for the club, to become involved and
help the club to improve. He explained that the club has not been keeping
track of who is active in the club and who is involved and willing to work
to help improve the club. We cannot continue as has been in the past
without having the club fade away, but the future of the club depends on
involvement of the members, who will need to help make the club something
we can be proud of. It will take he entire "family" working together if we
are to succeed.

The President proceeded with introductions.

The President expressed the appreciation of the Members to Marlene for
hosting the meeting.

The President then turned to the issue of the vacant post of Secretary.
After discussion of the matter, Rick Murphy K1MU was nominated and elected
Secretary. The minutes to the October 2011 meeting were approved as
amended.
The President then turned to the matter of the Treasurer's report, which
follows.

The Treasurer noted that he had been working to bring dues up to date and
had been successful in bringing several members up to date. The President
noted that we need to encourage members to invest in the club, and that
there were several activites underway to attract attention, including an
enhanced website (with a members-only page). One thing that the President
suggested was to add a DXCC tracking page on the site. Steve, WM3O,
mentioned that he had set up a site on Club Log to track status.

The President then turned to the matter of the 2012 DX Convention. Mike
Cizek, W3MC, explained the plans. The last convention that NCDXA sponsored
was DXPO-92 in 1992, and that lessons from that will be used in the new
convention. Speakers currently planned for the convention include K3ZO,
W3LPL, W6OAT, YT1AD AND N6PSE on ST0R. The program is well on the way to
being set, and a hotel in Frederick has been chosen for the venue. The
convention is being planned for around 100 attendees; with a $5000 hotel
cost and $2500 estimated expenses, we will need to charge $75 per attendee
to break even.
The convention will need support from the club members as Mike can't do it
all - advertising, contacting clubs, and registration. We also need to come
up with prizes from sponsors, which will be supported by booth income.
The plan is to hold the convention on August 25th, 2012.
Steve, WM3O, commented that this is a great opportunity for the Club to
attract new and younger members. Ben, W3FQT asked how we had arrived at the
number of attendees. The organizers stated that input from other clubs and
past DXPOs were used to determine potential attendees. Bernie, W3UR offered
to support advertising for the event.
On another matter, the President explained that he had opened several
leadership positions to help improve the club.

   - Bud, W3LL, has volunteered to be the Membership lead. He will contact
   new DXCC members to offer to allow them to join NCDXA at 50% rate.
   - Mike, W3MC, is the NCDXA Convention Lead.
   - Rick, W2GPS has volunteered to lead a strategy/planning session to
   present our club to ARRL Leadership. Steve, W3OA has also volunteered to
   join this group.
   - Dave is looking for a Youth Development leader, to work with a group
   of students to get them radios, licenses, etc.

In addtion, we need to highlight who in the club is volunteering in other
ways. Members who are Volunteer Examiners will be listed on the club Web
site. Please provide your information to the Secretary for addition to the
site.

The president then announced several awards:

   - YT1AD for DXpedition of the year
   - ET3SID for DXer of the year
   - Service awards for WB3ANE, W3AZD, N1KC, K3ZO, and W2YE.

The meeting adjourned at 1830, after which several door prizes were
distributed.
